WHAT WE ARE:

In November 2012, with the help of Rural Action Yorkshire, 3 Gayles residents set up the Gayles Heating Oil Co-op. It was seen as such a good idea, given the savings achieved, that first Dalton & then Kirby Hill/Whashton set up their own Oil Co-ops. However, all three co-ops order together to increase the buying power of the co-op & share the work involved as all co-ordinators are volunteers.

Oil Co-op membership is open to all residents of Gayles, Dalton, Kirby Hill & Whashton and enables members to purchase heating oil 4 times a year through the Oil Co-op. Co-ordinators negotiate, on behalf of the co-op members, to secure a discount using a number of oil companies for each order. Co-ordinators are all volunteers & receive no greater benefits than any other oil co-op members.

Buying in bulk not only saves the members money but also reduces the number of oil tankers on our country roads and is a more sustainable way of ordering heating oil.

WHAT WE DO:

Liaise by e mail with members to organise a bulk delivery on or after a set date

Contact the oil companies to get the best price

Order oil on behalf of those who have requested oil (min 500 litres per household)

Issue invoices, etc.

THE CONTRACT TO SUPPLY HEATING OIL IS BETWEEN THE HOUSEHOLDER/RESIDENT & CHOSEN OIL COMPANY

HOW THE OIL CO-OP WORKS:

You must first join the oil co-op in your village – see the membership document for each oil co-op which you can download & print from this page

Once you have completed & signed your membership form deliver it to the co-ordinator for your village. REMEMBER we order 4 x times /year - Nov/Jan/Apr/Aug. Members can also order oil at other times independently.

The week before the order dates an e mail is sent to members with a reply deadline time & date. Send an e mail to the oil co-op to tell us if you do or do not want oil. You MUST meet the deadline with your reply.

The Co-ordinators collate all the members order into a bulk order & email around 10 suppliers for quotes

The Co-ordinators decide on the chosen oil supplier on price alone

All members are then advised by e mail of the supplier & the anticipated delivery date IF YOU HAVE ORDERED OIL CHECK YOUR EMAILS REGULARLY until the email is received especially if there are access arrangements to make, for example, oil tank locked, etc.

The chosen supplier delivers to oil co-op members & invoices them direct.

Members are responsible for meeting the payment dates/times.

Any member whose invoice is not paid in accordance with the suppliers terms will not be able to order oil through the Oil Co-op until the balance is cleared in full.

I hereby agree to the following terms of membership:

  1. I give my consent for Dalton Oil Co-operative to negotiate price on my behalf for the supply of heating oil
  2. I understand the Dalton Oil Co-operative will identify appropriate suppliers of oil and negotiate only the price on behalf of all Dalton Oil Co-operative members, and terms will not be negotiated.
  3. I understand that Dalton Oil Co-operative shall only be responsible for negotiating (at no cost to members) supply price with potential suppliers on my behalf as a Dalton Oil Co-operative member.
  4. I agree that all payments of accounts and invoices raised by the supplier for oil supplied to my property must be made by me, as a co-operative member directly to the supplier for each delivery as requested by the supplier, if payments are in dispute for any reason my membership of the Dalton Oil Co-operative may be suspended until the matter is resolved.
  5. I agree that Dalton Oil Co-operative will have no liability to me for any claims that may arise between the Dalton Oil Co-operative supplier and me for any supply contract I may take out with them and the invoicing/payment thereof.
  6. I understand that it is my responsibility to ensure that my order form has reached Dalton Oil Co-operative each time a delivery is schedule and I wish to place an order.
  7. I will advise any changes to membership details in writing.
  8. I agree that Dalton Oil Co-operative will need to pass my personal data to approved suppliers to enable them to make a delivery. The data supplied will be used only for the purposes of the administration of the Dalton Oil Co-operative. It will be retained only for as long as you are a member of the Dalton Oil Co-operative, and it will not be disclosed to or shared with any other party without your permission.
  9. The Dalton Oil Co-operative is purely to facilitate bulk purchase of heating oil for domestic buildings and its responsibility will only be to facilitate the ordering and delivery of heating oil.
  10. The Dalton Oil Co-operative takes neither responsibility for any failures on the part of any particular supplier to deliver the type or amount of fuel ordered nor any failures to meet quoted delivery times.

Result of April 2024 Oil Order for Holmedale 

The heating oil order was given to Joe-Energy at a cost of 57.59ppl  + 5% VAT.

Prices per litre from the 5 suppliers that replied were within 6 pence of each other, the highest being 63.50p. Our total order for Dalton was for approximately 29,000 litres, with 44 drops. 63,000 litres was ordered on behalf of the 3 oil co-ops with 90 orders.

 

WHAT WE HAVE ACHIEVED SO FAR

February 2020 - 60,000 litres from 78 houses. The price was 38.4p per litre. The range was 38.4p to 44.5p per litre.

August 2019 - 35,000 litres with 51 houses. The price was 43.15p per litre. The range was from 43.15 to 48.93p.

February 2019 - 63,000 litres of heating oil ordered by 82 houses at a price of 43.00 pence per litre. Prices ranged from 43.00p to 48.27p.

August 2018 - 19,600 litres of heating oil ordered by 32 houses at a cost of 45.65p per litre plus VAT. Prices ranged from 45.56p to 50.96p .

February 2017 - 57,575 litres of heating oil ordered by 70 properties at a cost of 38.3p per litre + VAT . Prices ranged from 38.30p to 40.63p.

November 2016 - 48,000 litres of heating oil ordered for 71 properties at a cost of 33.2p per litre + VAT. Prices ranged from 33.2p to 38.95p.

August 2016 - 20,550 litres of heating oil ordered for 30 properties at a cost of 28.3p per litre + VAT. Prices ranged from 28.3p to 31.67p.

May 2016 - 54,900 litres of heating oil ordered for 67 properties at a cost of 27.49p per litre + VAT. Prices ranged from 27.49p to 29.79p.

February 2016 - 57,375 litres of heating oil ordered for 72 properties at a cost of 23.4p per litre + VAT. Prices ranged from 23.25p to 24.9p.

November 2015 - 44,675 litres of heating oil ordered for 60 properties at a cost of 28.25p per litre + VAT. Prices ranged from 28.25p to 30.80p.

May 2014 - 37,300 litres of heating oil ordered for 51 properties at a cost of 50.4p per litre + VAT. Prices ranged from 50.4p to 55.5p.

February 2014 - 37,900 litres of heating oil ordered for 53 properties at a cost of 53.94p per litre + VAT. Prices ranged from 53.94p to 58.5p.

November 2013 - 32,950 litres of heating oil ordered for 47 properties at a cost of 53.9p per litre + VAT. Prices ranged from 53.9p to 60.95 p.

August 2013 - 21,300 litres of heating oil ordered for 31 properties at a cost of 54.5p per litre + VAT. Prices ranged from 54.5p to 59.95 p.

May 2013 - 25,450 litres of heating oil ordered for 35 properties at a cost of 53.83p per litre + VAT. Prices ranged from 53.83p to 61.55 p.

February 2013 - 32,200 litres of heating oil ordered for 42 properties saving 40 tanker journeys on village roads. Total savings of £2011.69 (inc VAT) or an average of £47.90 per household based on a saving of 5.95p/litre against the highest quote.
